No hourly billing, no surprise invoices: a flat monthly fee based on your organization’s annual revenue. Both plans include a US-based bookkeeper, bank reconciliations, the portal, and unlimited logins for your team and board. Service is month to month — no long-term contract.

Catch-up bookkeeping (months or years behind) and audit-preparation support are quoted separately as one-time projects. Bill payments, accounts receivable, and tax preparation are on our roadmap — tell us on the call if those matter to you.

## Common questions

The questions executive directors and treasurers ask us most. Anything else, bring it to the call.

**Do we have to switch software?**

There's no software for you to buy or learn. Your books run on Rationara's own platform, operated by our team. You and your board use the portal — a plain-language dashboard, your bookkeeper's questions, and published reports. If you're on QuickBooks today, we handle the migration, including your history.

**Who actually does the work — people or software?**

People, assisted by software. Bank feeds and receipt reading remove the typing, and rules handle the repetitive categorization — but a bookkeeper reviews every entry before it posts, and an accountant reviews and approves every monthly close. Nothing reaches your ledger untouched by a person.

**What happens at tax and audit time?**

Your Form 990 preparer gets the functional expense statement, restriction schedules, and any detail they ask for — generated from the same ledger as your monthly reports. For audits, we produce the general ledger, reconciliation detail, attached receipts, and the audit log, and we field the auditor's questions about our work directly.

**Our books are months behind. Can you still take us?**

Yes — catch-up is common. We quote it as a one-time project alongside your monthly fee: we import the backlog, reconcile each month in order, and close them one by one until you're current. You'll know the catch-up cost before you commit.

**How fast do you respond when we have a question?**

Questions to your bookkeeper get a reply within one business day. During your monthly close you'll typically hear from us faster, since we're actively in your books.

**Can our treasurer or auditor get direct access?**

Yes. Portal logins are unlimited and free — treasurer, board members, office manager, auditor. Everyone sees the same published reports from the same locked periods, with their access logged.

**Is our financial data safe?**

Bank connections are read-only — we can see transactions, never move money. Access is per-person with individual logins, every action is recorded in the audit log, and your data is yours: full exports of your ledger and attachments are available anytime.

**What if we leave?**

No long-term contract — service is month to month. If you go, we hand over your complete general ledger, chart of accounts, attachments, and report history in standard formats, and we'll do a transition call with your next bookkeeper.
