- Payroll and contractor information

Depending on the Services being performed, these records may contain personal information relating to your employees, contractors, vendors, customers, donors, members, or other individuals.
Customer Ownership of Information
You retain ownership of the financial records, documents, data, and other information you provide to Rationara or authorize Rationara to access.
Rationara does not acquire ownership of your financial or business information by providing the Services.
We access and use customer information only as reasonably necessary to provide the Services, administer our relationship with you, maintain security, comply with applicable law, or as otherwise authorized by you.
How We Use Information
We may use information collected or accessed through Rationara to:
- Provide bookkeeping and related Services

- Perform Services specifically requested or authorized by you
- Communicate with you regarding your account and Services

Rationara will not use customer financial information for unrelated marketing or promotional purposes.
Access to Financial Accounts and Systems
To provide the Services, you may authorize Rationara to access accounting software, financial institutions, bank accounts, credit card accounts, payroll systems, payment processors, document storage platforms, or other third-party systems.
Rationara will access these systems only as reasonably necessary to provide the Services you have requested or authorized.
Access to a financial account or system does not, by itself, authorize Rationara to initiate transactions, transfer funds, make payments, incur financial obligations, or otherwise act on your behalf unless you have specifically authorized Rationara to perform those activities.
You are responsible for determining the appropriate level of access granted to Rationara and for maintaining your accounts with third-party providers.
Third-Party Services
Rationara may use or access third-party services in connection with providing the Services, including accounting platforms, financial institutions, payroll providers, payment processors, cloud storage providers, communication services, and other technology providers.
These third parties maintain their own privacy, security, and data-handling practices.
When you establish or maintain an account directly with a third-party provider, your relationship with that provider is also governed by its terms and privacy policies.
Confidentiality and Data Security
We recognize that bookkeeping services may involve access to confidential and sensitive financial information.
Rationara uses reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, disclosure, alteration, misuse, or loss.
Access to customer information is limited to employees, contractors, and service providers who reasonably require access to perform or support the Services.
However, no method of transmitting or storing information can be guaranteed to be completely secure. Accordingly, we cannot guarantee the absolute security of information provided to or accessed by Rationara.
Payment Information
Rationara may use third-party payment processors to collect payments for our Services.
Payment information submitted through a payment processor may be collected and processed directly by that provider in accordance with its privacy and security practices.
Rationara may retain information regarding your billing history, payment status, payment method, and related transaction information as necessary to administer your account and maintain our business records.
Data Retention
Rationara retains information for as long as reasonably necessary to provide the Services, maintain appropriate business records, comply with legal and regulatory requirements, resolve disputes, enforce agreements, and fulfill other legitimate business purposes.
Following cancellation or termination of your Rationara Services, we may retain certain customer and financial information for a reasonable period when necessary for these purposes.
Where information is no longer reasonably necessary and we are not legally required to retain it, we may delete or securely dispose of it in accordance with our data retention practices.
Customers should maintain their own copies of financial records and documents required for their business, accounting, tax, regulatory, or record-retention purposes.

You may contact Rationara to request access to, correction of, or deletion of personal information that we maintain about you.
Certain information may not be eligible for deletion when we are required or permitted to retain it for purposes such as:
- Completing Services you requested
- Maintaining financial or transaction records

- Detecting or preventing fraud or security incidents
- Resolving disputes
- Establishing or defending legal claims
- Enforcing our agreements

In providing Services to your organization, Rationara may receive personal information concerning individuals who do not have a direct relationship with Rationara, such as your employees, contractors, vendors, customers, donors, members, or other individuals.
When you provide personal information about another individual to Rationara, you are responsible for ensuring that you have the appropriate authority or legal basis to provide that information and permit Rationara to process it for the purpose of providing the Services.
Rationara will process such information on your behalf and in accordance with the Services you have requested, these privacy practices, and applicable law.
